Quality Photography Experience That Is Different.

How to include important people in your wedding photos starts with a bit of planning. Your wedding day will go by in the blink of an eye. Between the excitement, emotions, and whirlwind of celebration, it can be easy for a few familiar faces to slip through the cracks when it comes to photos. As experienced Vancouver wedding photographers, we’ve seen this happen for all kinds of reasons, from timing, schedules, getting caught up in the joy of the day, or guests being in the middle of the crowds, shying away from the camera, to being at the back of venues away from the action. To help you make sure everyone who matters most is beautifully documented, here’s a guide on when and how to include them throughout your wedding day.

Getting Ready in the Morning

Invite Your Favourite People Into the Getting Ready Space

The morning is the perfect time to include the people who mean the most to you. Whether it is family, your wedding party, or lifelong friends, invite them to join you while you get ready. This is when genuine laughter and excitement naturally happen. Think hugs, champagne toasts, and everyone helping with final touches before the ceremony.

Give Friends and Family Special Getting Ready Roles

You can give specific roles to important people so they naturally end up in your photos. Ask a parent or best friend to help with your dress, tie, veil, or jewelry, or have your kids help you put on shoes or straighten your jacket. Those small, practical moments often turn into some of the most emotional images of the day.

The First Look or Private Moment

Share Your First Look With Family and Friends

involving a few special people to share the moment with you. Parents, siblings, or close friends can watch from a distance and then step in for a hug or group toast right after. These quiet, genuine reactions often become some of the most powerful photos of your wedding story.

Plan a First Look With Your Wedding Party

You can also plan a separate “first look” or reveal with your wedding party. Invite your family, bridesmaids, or groomsmen into the room for a big reveal and a quick champagne toast before heading to the ceremony. They get a chance to see you all dressed up for the first time, react, cheer, and hype you up, and you get a series of fun, emotional photos that show just how excited your closest people are for you.

After the Ceremony

Seat Your VIPs in the Front Rows

The way you set up the ceremony can also make a big difference in how present your important people are in the photos. One of the easiest ways to include them is to situate them in the first few rows. Make sure kids, parents, grandparents, siblings, and chosen family are close to the front so their reactions are part of your ceremony photos, not hidden in the back.

Give Family and Friends Meaningful Ceremony Roles

You can also give meaningful roles to the people you want to feature. Ask siblings or friends to walk you down the aisle, do readings, carry the rings, or be part of a meaningful tradition in your ceremony. If you have children, you can include them in a unity candle, sand ceremony, or a simple “family vow” where you all join hands for a few seconds during the ceremony. You can also invite nieces or nephews to be your ring bearers or flower girls, so they have a special job and are guaranteed to be part of your favourite ceremony photos.

Plan Relaxed but Organized Family Photos

The time right after your ceremony is the best time for family and group photos. We include a list of recommended groupings in our pre-wedding planning form, along with space for you to add your own. That way, we can be sure to get everyone who matters most to you.

The easiest way to make sure no one is missed is to add them right into your group list. Weddings move fast, and it’s easy to think someone will be around, but when things get busy, people can slip away or get caught up chatting. By including them ahead of time, we’ll make sure they’re called over when it’s their turn and that you get those must-have photos.

Candid moments with friends and family are amazing, but they’re not always guaranteed, especially once the party starts. So if there’s anyone special you definitely want a photo with, like old friends, cousins, or that one person who means a lot to you, this is the perfect moment to plan it in. We’ll already have the lighting set up and can create a beautiful shot of you all together. Being organized means we can move quickly, keep things stress free, and get you back to the celebration.

Cocktail Hour

Use Cocktail Hour for Relaxed Candid Photos

Cocktail hour is one of the best times for natural candid photos. Everyone is relaxed, chatting, and having fun, the perfect setup for genuine moments. If you are naturally hanging out with your friends, that is when we can capture amazing candid shots of you all together without anything feeling posed.

If there are a few people you definitely want photos with, make a point to spend some time with them during this part of the day. We will be nearby to catch those real moments as they happen.

Add Interactive Games to Bring People Together

Interactive games can also help bring everyone together. You might set out simple lawn games, a “how well do you know the couple?” trivia sheet, or icebreaker cards that encourage guests to find someone who shares a fun fact or memory. Not only do these keep guests entertained, they naturally create laughter, hugs, and conversations that translate beautifully into candid photos.

Reception

Make Friends the Emcees and Storytellers

During the reception, you will want to think about where your most important people are seated. We recommend placing them near the head table or dance floor. This is also a great time to give special roles to friends and family. You can ask close friends to be your emcees, guiding the evening and introducing key events so they become part of the story instead of just watching from their seats.

Invite Important People to Give Speeches

You can invite a mix of family members, like siblings, parents, or long-time friends, to give shorter speeches instead of just one or two long toasts. Their words become part of your story, and their reactions (and yours) make for impactful images.

Plan Special Dances With Family

Plan classical dances like a father-daughter or mother-son dance, and consider including kids or other family members in a special family dance partway through the evening. It is a beautiful way to honour them and create some of the most emotional photos of the reception.

Use Games to Fill the Dance Floor

You can also use games or interactive moments to bring guests up to the dance floor. Think of things like a shoe game, a table-by-table dance-off, or inviting each table to join you for a quick photo and cheers before they leave the floor. Throughout the night, take a moment to visit and toast different tables or groups so we can capture genuine hugs, clinking glasses, and laughs, not just posed group shots.

Create an Irresistible Dance Floor

A great dance floor and good music make it so much easier to include your guests in the story of your reception. Work with your DJ or band to choose songs that feel like you as a couple, but also bring different generations onto the floor throughout the night. Make sure the dance floor is easy to access, not tucked in a corner, and ask your wedding party and closest friends to help “open” the dance floor so others feel excited to join in.
